Job Summary

We are seeking a highly organized and proactive Executive Assistant to support a successful real estate professional in Scarborough, Toronto. The Executive Assistant will play a key role in keeping business and personal priorities organized, helping manage real estate transactions, appointments, client communication, documents, errands, and day-to-day executive support. This is a highly trusted role requiring discretion, polish, strong judgment, and exceptional attention to detail.

Key Responsibilities

- Manage day-to-day scheduling, calendar coordination, appointments, meetings, and follow-ups to keep priorities on track.
- Support real estate listing and buyer-related activities, including showings, inspections, appraisals, timelines, client communication, and deal coordination.
- Prepare, organize, review, and maintain documents, contracts, correspondence, records, files, and databases with a high level of accuracy.
- Communicate professionally with clients, agents, lawyers, mortgage brokers, contractors, service providers, and other stakeholders.
- Monitor deadlines, deliverables, urgent matters, and outstanding items to ensure tasks are completed efficiently and nothing is missed.
- Assist with personal errands, household logistics, travel planning, renewals, appointments, bookings, and other administrative tasks that support executive productivity.

Compensation and Benefits

- Salary range: $60,000 to $80,000 per year.
- Job type: Direct hire, full-time.
- Work schedule: In office.

Required Qualifications and Skills

- Manage executive calendar coordination, appointments, meetings, and daily priorities.
- Support real estate transactions, listings, buyer activity, deadlines, and client follow-ups.
- Prepare and manage real estate documents, contracts, correspondence, files, and databases.
- Coordinate professional and personal logistics, errands, bookings, and time-sensitive tasks.

- Minimum 1 year of experience in the real estate industry.
- 2 to 5 years of experience in executive assistance, personal assistance, administration, or real estate support.
- Valid driver’s licence and access to your own vehicle for travel.
- Familiarity with real estate systems, documents, contracts, transaction timelines, and client service expectations.
- Experience using Broker Bay, TRB or MLS, Trello, and Google Suite.
- Ability to prepare offers and listing agreements with accuracy and attention to detail.
- Strong organizational skills with the ability to anticipate needs, manage shifting priorities, and respond quickly to urgent matters.
- Professional communication skills with the ability to interact confidently with clients, agents, lawyers, brokers, contractors, and service providers.
- High level of discretion, reliability, resourcefulness, polish, and follow-through.

Preferred Qualifications

- Real estate licence is highly preferred.
- Experience supporting a realtor, broker, real estate team, or property-related business.
- Experience in a fast-paced, client-facing real estate environment.
- Comfort handling both business and personal assistant responsibilities with professionalism and discretion.
