We are recruiting for an Executive Assistant for a successful real estate agency located in Scarborough, ON, in the heart of the beach. This direct hire opportunity is ideal for a highly organized, proactive, and client-focused administrative professional who enjoys supporting a busy real estate executive in a fast-paced, relationship-driven environment.

This role offers a strong blend of executive assistance, real estate administration, client coordination, and personal assistance. The successful candidate will help keep listings, buyer activity, appointments, documents, and personal obligations organized so the executive can stay focused on clients and business growth.

Compensation and Benefits:

• Salary: $60,000 to $80,000 per year.

• Job Type: Direct hire.

• Schedule: 9:00am to 5:00pm.

• Vacation: 3 weeks.

• Sick Days: 5 sick days.

Additional Skills

Responsibilities:

• Manage day-to-day scheduling, appointments, meetings, and calendar coordination


• Assist with listing and buyer-related tasks, helping to keep deals, appointments, and timelines on track


• Coordinate showings, inspections, appraisals, meetings, and client follow-ups


• Prepare, organize, review, and manage documents, contracts, and correspondence


• Monitor deadlines, deliverables, and outstanding items to ensure nothing is missed


• Communicate with clients, agents, lawyers, mortgage brokers, contractors, and other service providers


• Assist with errands, logistics, and administrative tasks that support the realtor’s productivity


• Manage personal appointments, bookings, and household-related scheduling


• Coordinate errands such as dry cleaning drop-off/pick-up, returns, shopping, and other day-to-day tasks


• Assist with personal travel planning and important renewals such as passports and related documents


• Support family and household logistics, including coordinating care arrangements or supervising child- or dog-sitting needs when required


• Help keep personal obligations organized and on schedule so the executive can remain focused on clients and business priorities



Requirements:

• Min 1 year experience in the Real Estate industry. Real Estate license is highly preferred


• 2-5 years experience in executive assistance, personal assistance, administration, or real estate support


• Valid driver’s license and own vehicle for travel is a must

• Familiarity with real estate systems, documents, and timelines is considered a strong asset


• Broker Bay, TRB (MLS), Trello, Google Suite, literate in preparing offers and listing agreements


• Experience working in a fast-paced, client-facing environment
