Job Summary
We are seeking a detail-oriented Logistics Coordinator & Order Desk professional for a direct hire opportunity in Mississauga, ON. This fully in-office role is ideal for someone with strong order desk, customer service, shipping, receiving, and administrative experience who enjoys working in a fast-paced manufacturing environment.
Reporting to the Office Manager, the Logistics Coordinator & Order Desk will support daily order processing, shipping coordination, customer communication, inventory tracking, invoicing, and general office administration. This is a great opportunity to join a small, collaborative team where your accuracy, communication skills, and ability to keep orders moving smoothly will have a direct impact on customer satisfaction and operational success.

You will work closely with office, warehouse, sales, and shipping teams in a stable Monday to Friday schedule, with the opportunity to contribute to a company that values reliability, responsiveness, and strong customer relationships.
Key Responsibilities
- Receive, verify, and accurately enter customer orders through phone, email, and online channels.
- Prepare shipping documentation, waybills, labels, courier and LTL shipment details, and cross-border documentation such as CUSMA when required.
- Communicate with customers regarding order status, pricing, shipping updates, inquiries, returns, exchanges, and issue resolution.
- Track orders through fulfillment by coordinating with warehouse, sales, shipping, and other internal departments to support timely delivery.
- Maintain accurate records for customer orders, inventory updates, shipping documents, invoices, and related administrative files.
- Support billing, invoicing, accounts receivable functions, freight invoice reconciliation, phone coverage, and general administrative tasks as needed.
Compensation and Benefits
- Salary: $40,000 to $45,000 per year.
- Job Type: Direct hire.
- Location: Mississauga
- Schedule: Monday to Friday, 9:00 a.m. to 5:00 p.m.
- Work Arrangement: Fully in office.
- Vacation: 2 weeks.

Required Qualifications and Skills
- Manage order entry, order processing, customer communication, and order status updates.
- Coordinate shipping and receiving documentation, courier and LTL shipments, waybills, labels, and freight-related paperwork.
- Support inventory tracking, order fulfillment, invoicing, accounts receivable, and freight invoice reconciliation.
- Provide administrative support in a small office environment, including phone coverage, filing, proofreading, and data entry.
- 2 to 3 years of experience in order desk, customer service, logistics coordination, shipping, or a related administrative support role.
- Post-secondary education in Business is required.
- High School Diploma is required.
- Strong understanding of shipping processes, order fulfillment, and customer service best practices.
- Proficiency with Microsoft Office and strong general computer skills.
- Experience using accounting or ERP systems.
- Excellent written and verbal communication skills.
- Strong organizational skills, time management, accuracy, and attention to detail.
- Ability to work in a fast-paced environment and learn quickly.
- Professional phone manner and ability to work effectively with customers and internal teams.
Preferred Qualifications
- University degree in Business Administration with a focus on accounting is preferred.
- QuickBooks experience is highly preferred.
- Experience in a manufacturing, distribution, warehouse, or logistics environment is an asset.
- Experience preparing cross-border shipping documents such as CUSMA is an asset.
