Job Summary

We are seeking an experienced Order Management Administrator for a direct hire opportunity. This fully remote role is ideal for a detail-oriented administrative professional with strong order processing, logistics coordination, and customer follow-up experience.

The Order Management Administrator will play a key role in ensuring customer orders are entered accurately, tracked closely, and delivered on time across Canada. This position requires strong organization, urgency, diplomacy, and the ability to make sound decisions when shipments are delayed, rerouted, or require quick resolution.

Key Responsibilities

• Process customer orders, including order entry, order acknowledgments, follow-up, and ongoing order tracking.
• Prepare and submit purchase orders to suppliers while monitoring lead times, replenishment needs, and minimum inventory levels.
• Coordinate logistics for incoming and outgoing shipments 
• Communicate professionally with customers, suppliers, sales representatives, and internal team members to resolve order and shipment issues.
• Assist with production planning tasks, including relabeling, repackaging, and completing production-related forms.

Required Qualifications and Skills

Primary duties and projects include:

• Manage customer order processing from entry through acknowledgment, follow-up, tracking, and completion.
• Coordinate supplier purchase orders, replenishment, freight rates, and shipment logistics.
• Support order issue resolution, including late shipments, rerouting, and customer communication.
• Assist with inventory coordination and production planning documentation.

Required qualifications and skills:

• 2-3 years of experience in order management, order processing, logistics coordination, customer service administration, data entry, or a related administrative role.
• Strong attention to detail with the ability to manage multiple orders, priorities, and deadlines.
• Experience coordinating shipments, following up with suppliers, and tracking orders through completion.
• Basic Microsoft Excel skills.
• Strong written and verbal English communication skills.

Preferred Qualifications

• Experience working with multiple locations and ship-to addresses.
• Understanding of terms such as drop shipments, blank shipments, and bulk orders.
