Short Description:

An OS&D (Over, Short, and Damaged) Clerk is responsible for documenting and resolving discrepancies in shipments, including overages, shortages, and damaged goods. They review delivery reports, investigate issues with carriers or internal teams, and coordinate corrective actions to ensure accurate inventory records. The role involves maintaining detailed records, communicating with suppliers and warehouse staff, and supporting audits or compliance requirements. OS&D Clerks help ensure the integrity of inventory and the efficiency of supply chain operations. Strong attention to detail, organizational, and communication skills are essential for success in this role.

Duties / Responsibilities:

  • Receive, review, and process overage, shortage, and damaged (OS&D) reports for incoming and outgoing shipments
  • Verify shipment contents against purchase orders, packing lists, and bills of lading to identify discrepancies
  • Document and track OS&D issues in inventory or logistics systems, ensuring accurate records for follow-up and reporting
  • Communicate with carriers, suppliers, and internal departments to resolve shipment discrepancies in a timely manner
  • Prepare claims, return authorizations, and reports related to damaged, missing, or excess merchandise
  • Investigate root causes of recurring OS&D issues and recommend process improvements to minimize errors
  • Coordinate with warehouse and shipping teams to inspect, sort, and handle affected goods according to company policies
  • Monitor and update OS&D metrics and performance dashboards for management review
  • Support audit and compliance activities by providing accurate documentation of shipment discrepancies
  • Collaborate with procurement, logistics, and customer service teams to ensure consistent resolution and customer satisfaction

Skills / Requirements / Qualifications

  • Education: High school diploma or equivalent required; associate’s degree in logistics, supply chain, or business administration preferred
  • Experience: 1–3 years of experience in warehouse operations, logistics, or shipping and receiving
  • Attention to Detail: Strong accuracy in reviewing shipment documents, recording discrepancies, and maintaining records
  • Communication: Effective verbal and written communication skills for coordinating with internal and external stakeholders
  • Analytical Skills: Ability to investigate shipment issues, identify trends, and propose corrective actions
  • Technical Skills: Proficiency with inventory management systems, ERP software, and Microsoft Office Suite
  • Problem-Solving: Ability to resolve shipment discrepancies and prevent future OS&D occurrences
  • Organization: Strong multitasking and time management skills to handle multiple shipments and reports efficiently
